How it works
Build or rebuild. Then run.
Every engagement has two phases. First we build the operations underneath your books — from scratch if you’re new, or rebuilt if what you have isn’t working. Then we run them: the books, the close, the reporting, and the automation, month after month.
Phase one · 30–90 days
The build.
This is where the business changes. For a new company, it’s a clean setup done right the first time. For an established one, it’s going underneath the books and fixing how information gets there. Either way, when we start running the numbers, they’re fed by systems instead of by people.
Map how information moves.
Every system, every spreadsheet, every hand-off, and who touches what — from the moment a job is sold to the moment it lands in the books. Most owners have never seen this drawn out. It’s usually the first “oh” of the engagement.
Wire the systems together.
We connect the tools you already run — your CRM, job platform, booking system, payroll — to the accounting system through their APIs. The steps a person was doing by hand become automations. Where a spreadsheet was holding things together, we take ownership of it and rebuild it properly.
Stand up Undeferred Insights.
Your reporting, built around the questions you actually ask: how much will we make this year, where is the margin, what changed. Not a template — shaped to how you think about your business.
A first win inside 30 days.
One manual process gone, one automation live, your first month in Insights. The build takes 30–90 days depending on where you start, but you should feel it in the first month — usually as someone on your team getting hours of their week back.
What you’ll be asked to do
Very little. Grant access, make a few decisions, and say “yes, please do it.” We handle the migration, the plumbing, and the parts nobody on your team wants to touch.
What you’ll have at the end
A finance operation running on rails: invoices, payments, payroll, and reporting flowing without a person re-keying anything — and usually a team member who just got their week back.
Phase two · monthly
Run.
Once the plumbing is in place, we run it. This is the ongoing relationship — a CFO, a senior accountant, and an AI expert on your team, every month.
Books and close, on a pipeline
Bookkeeping, month-end, and independent reviews of the P&L and balance sheet — the same disciplined sequence every month, so the numbers are trustworthy and on time.
Insights, kept current — and growing
Every question you ask on a monthly call becomes a view that’s already there before the next one. The reporting gets smarter the longer we work together.
The automations, maintained
Systems change, vendors change APIs, your business adds a location. We keep every script, sync, and routine running — and build the next one when a new manual process shows up.
A partner for the decisions
Pricing, hiring, compensation, a big purchase, a lender’s question — the calls that need judgment get a senior person who already knows your numbers, not a ticket queue.
Your CPA, served
Everything the tax return needs, handed over ready. Their questions come to us. You sign.
The alternative
Why not just hire someone?
You could. A controller, a fractional CFO, and an operations person would cover what we do. Here’s what that actually costs.
The real cost of a $250K hire.
Salary is the small print. Add benefits, payroll taxes, a 401(k) match, equipment, and a recruiter’s fee, and the fully loaded number is far bigger than the one in the offer letter — for one person, covering one of the three roles.
When they leave, so does everything they knew.
And they do leave. You’re left scrambling to replace someone whose job you never fully understood, while the work piles up. With us, the knowledge lives in systems and documentation, and there’s a firm behind it — not one résumé.
You become their manager.
Morale, motivation, one-on-ones, culture fit, goals, performance reviews. A great finance hire still needs to be led — by you, in a discipline that isn’t yours. We manage ourselves.
Have they done this ten times before?
Most hires have solved a version of your problem once, at their last job. We’ve solved it across every company we serve, and every system we built along the way comes with us.
Pricing
Two phases, two prices.
The build is priced as a project; Run is a monthly engagement. Together they cost a fraction of the fully loaded cost of a single senior finance hire — with none of the risk of building your finance function around one person.
No lock-in
Leave any month. Take everything with you.
No long-term contract. Your books, your files, and your data are always yours.
If you leave, we hand off in an orderly wind-down: a full export, written documentation of every process we built, and read-only access to Insights for 90 days. The automations run on our systems, so they stop when we do — but nothing you need to operate is ever held hostage.
When can we start?
One client at a time.
The build is hands-on partner work, so we onboard one client at a time.
